Service Coordinator with Sage and Timberline software


Our client is an employee-owned St. Louis based business that is a fantastic team-based environment. Contribute to the success of the Service Department by effectively directing the activities of all service personnel including the receipt, prioritization, and dispatch of all service calls and coordination and scheduling of necessary support equipment, supplies, and subcontractors for time and materials, maintenance, and small projects. Primarily responsible for accurate client billings.


Principal Accountabilities:


  1. Effectively direct and schedule the activities of all Service Technicians and Area Foremen so as to maximize customer service and technician billable time


  1. Effectively receive and prioritize all requests for service, assigning technicians based on availability, requisite skills, existing work orders, and the availability of necessary support equipment or services.


  1. Develop and maintain effective records on the status of preventative maintenance agreements, time and materials jobs, service small projects, and system start-ups for both D/B and P/S projects.


  1. Accumulate data on time and material jobs. Input data in appropriate electronic and/or manual system.  Process bills and invoices prepare associated reports and maintain associated files.


  1. Research and assemble information on P/M accounts (costs and completion) as required for monthly Area Foreman’s Meeting.


  1. Help maximize the effectiveness of the Service staff by assisting the Technicians in all aspects of their work from calculating mark-up to locating required parts and equipment for the job.


  1. Contribute to Company operations by insuring that all invoices are properly approved and allocated to the correct job.


  1. Supervise processing of all job tickets allocating Technician time, expenses, and vendor invoices to the appropriate job and generating weekly payroll reports


  1. Expedite the start-up and owner acceptance process by maintaining appropriate files, tracking start-up checklists, tracking warranty period activity, and generating and securing executed owner acceptance and warranty letters.


Education and Experience:


To function effectively in this position requires an individual with outstanding organizing and scheduling skills, the ability to deal effectively with a wide cross section of individuals ranging from customers with equipment outages to internal staff.  A thorough knowledge of Mechanical systems service requirements and approximate job size is essential to the effective prioritization and scheduling of multiple Technicians.
